Create Brand-New
E: Create a "new object" record
M: New type of object or is the object type created already?
E: Let's say in this case, you are creating records for film stills, and there are no other previous records of film stills.
M: Typically would create from Template - maybe I have a template for that type of object, where I would have the fields necessary to catalog the film still.
Selecting the number of objects
Would first specify the number of objects I want to creates. If I have 12 of them, type in 12.
Clicks the arrows up or down, or type in the number.
ID number
Not sure what ID number means. For us that would be the accession number.
_Types in the accession number and titles first before the other fields._I would do these first before filling in the other fields. Check against my list of objects on paper (paper accession files: Database of what items we have).
I don't do a lot of creating new objects, but when I do, there's already been an accession number. I would manually type them in.
e.g.
1984.001
1984.002
1984.003
To repeatedly create similar numbers, I would use copy and paste.
Setting prefix: Did you notice the "Generate numbers" box?
M: No. This is pretty cool. I would just click the blue number, and it would automatically fill [the numbers] in.
Clicks on 2009.1.<whatever next available number>
Set prefix, such as "1984"
Design to-do: Display the "Generate numbers" section to the right of the spreadsheet.
Selecting number type
M: Do I then get to select the type of number? If I wanted it to be library number, does the system know the library number and register automatically? Or do I need to specify?
I don't have to set select a pattern and set prefix
E: What would the X's mean?
M: It would delete that item
E: What would happen to the accession numbers if you deleted an item? Should it stay the same, or reorder the numbers to account for the deleted one?
M: I wouldn't want to recount all the numbers. If I am typing in a bunch of random numbers that are not necessarily in order, that would mess it up. I can see the benefit of recounting numbrs though. So would be good to be able to choose.
E: What would happen if you hit "Create"
M: You would see the list of those items in a search-results form.
you would get that from the title and the ID number.
Once you create/edit [an object record], it would be nice to not have to go back to the search box, and search for the ones you just created.
Design to-do: After user creates the objects, in the object edit view, display "Viewing 2/12 objects" at the top right to orient users.
Create from Existing Object
Finding the object (page 2/6)
Sees the list of objects.
M: I could search [for the object I want]. Is [the search field] automatic, like in iTunes, I type something and the list get small?
Star
M: I don't know what the star is.
E: It's just a flag that you can use for any meaning. Only you can see your own stars.
M: Very cool, I would use that.
I would click the name of the object
There are couple ones with similar titles, and if i see one i like, just click on that one
Page 4/6
M: I would click Create
Is it to let you know which fields are in there. I can see all fields I need. I could uncheck the fields I don't need.
M: Is it same fields or same values? often you have extremely similar values.
E: Should they carry over just the fields or the values in the fields too?
M: Same values are important, because for most of them they repeat.
E: Explain the interaction when the fields are unchecked: that the fields disappear from the preview on the right.
M: When you uncheck things you are not actually deleting the field, you are just not accepting the value. Provenance. It's not completely losing the ability to catalog in that field. Only the values should go away from the preview pane. If the whole field is gone, it would confuse me.
Grey out or delete the values of the unchecked field instead of deleting the value as well as the field title.
M: I don't think [the tool tip] is necessary. Anyone who's experienced with the CMS should know what all the fields mean.
Option to turn it on/off contextually.
M: Clicks the next button because it's available
M: [The objects I am creating in the same batch] may not necessarily have the same prefix. Natural for this to come after choosing the fields, because [picking fields to import] is so provisional whereas accession number is so final.
